What to include on a rent receipt
Every rent receipt should show the date, the amount, the property and rental period, and the name and title of the person who received the money — the four items New York law lists — plus a receipt number and how the rent was paid.
Those details answer the questions that come up later. When a tenant applies for a new lease, or a landlord and tenant disagree about whether October was paid, the receipt has to say which unit, which month and how much on its own, without anyone relying on memory.

Do landlords have to give rent receipts?
It depends on the state. Several states require a receipt for cash rent, and some require one for any payment when the tenant asks; where no rule applies, a receipt still protects both sides.
Most of these rules turn on two things: how the rent was paid and whether the tenant asked. Cash is the common trigger, because cash leaves no bank record. Checks and transfers already leave one, so several states only require a receipt for them on request.

How to write a rent receipt
Write it when the money arrives, fill in the property and period, sign it with your title, and keep a copy.
- Give it the next number in that tenant's sequence.
- Write the date you received the rent.
- Name the tenant and the property, including the unit.
- Write the rental period the payment covers.
- Write the amount and how it was paid, with the check number, money order serial or transfer ID.
- Sign it with your name and title, give the tenant a copy and keep one.
By hand, in Word, Google Docs or Excel
A handwritten receipt works if it carries the same details. A duplicate receipt book gives you a copy automatically; write the numbers in order and don't tear out spoiled ones — mark them void instead.

Cash, checks, money orders and online payments
Write the receipt the moment cash or a money order changes hands, and record the reference for everything else: the check number, the money order serial number or the transfer ID.
Cash
Give the receipt on the spot and keep a copy. Cash is the payment New York, Washington, Colorado and Texas all name. Washington lets a landlord refuse cash, but once cash is accepted, a receipt is required.
Personal checks
Write the check number on the receipt. In Hawaii a canceled check also counts as the receipt; in New York the tenant can ask in writing for receipts for personal checks.
Money orders and cashier's checks
Write the serial number. New York treats these like cash — anything other than the tenant's personal check needs a receipt — and Colorado requires one at the time for an in-person money order.
Zelle, Venmo, bank transfers
The app records the transfer but not which property or month it was for. A receipt with the transfer ID fills that gap. Colorado allows an electronic receipt unless the tenant asks for paper.
When the tenant pays only part of the rent
If a tenant pays only part of the rent, the receipt should say so: the amount received, the date, what is still owed and when it's due.
Mark it "partial payment" and name the month, so nobody later reads $1,200 as the full rent. The same layout works for any part payment — see how a payment receipt shows the total, the amount paid now and the balance.
Partial rent after a notice
Accepting part of the rent can affect a notice you've already served, and states handle it differently. For example:
- Florida (§ 83.56(5)): one option is a receipt showing the date and amount received and the agreed date and amount of the balance.
- Virginia (§ 55.1-1250): accepting partial rent "with reservation" requires a written notice with wording set by the statute.
- Minnesota (§ 504B.291): the landlord and tenant must agree in writing.

Give the deposit its own receipt
Give the security deposit its own receipt, or at least its own line, and say what it is for and whether any part is refundable.
At move-in a tenant often pays the first month, sometimes the last month, and a deposit together. Splitting them keeps the rent record clean and makes the deposit easy to trace when the tenancy ends. Deposit rules — limits, where the money is held and when it comes back — differ by state; in New York, a landlord who puts the deposit in a bank must tell the tenant in writing the bank's name and address and the amount (General Obligations Law § 7-103).
If you're the tenant
Ask in writing. In New York a written request makes receipts for personal checks required for the rest of the tenancy, and in Washington and Colorado the landlord must give one when you ask.
You can fill in a receipt yourself and bring it when you pay, but it only proves payment once the person who took the money signs it. If they won't sign, keep other proof: the bank or app record, a canceled check, and a text sent the same day confirming the amount and date.
When you need proof of rent
Rental applications and some benefit programs ask for proof that you've paid rent. A run of numbered receipts usually covers it; some ask for a letter from the landlord instead, which is a different document from a receipt.
In Minnesota, renters claiming the Renter's Credit need a Certificate of Rent Paid from the landlord by January 31; without one, a renter can apply for a Rent Paid Affidavit and must include proof of rent paid — this is where a year of receipts is useful.
Keeping rent records
Keep a copy of every rent receipt. New York requires landlords to keep records of cash rent receipts for at least three years, and Texas requires a record book of cash rent payments.
For taxes, landlords who rent out a home generally report rental income and expenses on Schedule E (IRS Pub 527); receipts and bank records back up those figures.
Do landlords get a 1099 for rent?
Not from tenants renting a home: payments made outside a trade or business aren't reportable. A business that pays rent reports $2,000 or more in a year on Form 1099-MISC (tax years beginning after 2025); when rent goes through a property manager, the manager reports it to the owner.
Single receipts or a rent receipt book
