What is a payment receipt?
A payment receipt is written by the person who was paid and given to the person who paid. It's their record that the money arrived; it's yours that you said so.
People search for it under several names — receipt of payment, receipt for payment, proof of payment receipt, paid receipt, money receipt. They're the same document. What makes it a payment receipt rather than any other receipt is that it records a payment against something: a job, an invoice, a deposit, a loan.
Receipting every payment matters most when money arrives in pieces. A deposit, two progress payments and a final payment are four receipts, and each one carries the running balance, so either side can see at a glance what's been paid and what's left.

If you sent an invoice, the receipt references its number. A purchase order comes before both: it's the buyer's order, not a request for or a record of payment.
What to include on a payment receipt
Every payment receipt needs a receipt number, the date paid, who paid, who was paid, the amount, the payment method and what the payment was for. Add the balance, the invoice number and a signature when they apply.

Sales tax belongs on the invoice or sales receipt for the sale. A payment receipt records the money, so it shows the amount paid including any tax.
Payment receipt examples
Six filled-in receipts: cash paid to a contractor, a deposit on a remodel, a milestone paid by bank transfer, the final payment marked paid in full, a deposit on a car and a personal loan repayment.
Cash paid to a contractor
Cash leaves no bank record, so the receipt is the record. Amount in words, a signature and a copy for each side.
Deposit on a home remodel
The receipt says it's a deposit, what it's applied to and where the refund terms are. $1,000 is also California's cap on this contract (see below).
Milestone paid by bank transfer
The transfer ID ties the receipt to the bank record; the milestone and invoice number tie it to the work.
Final payment, paid in full
"Paid in full" with a $0.00 balance closes the account for this project. Only write it when nothing is owed.
Deposit on a used car
A private-sale deposit needs three things in writing: what it holds, until when, and when it comes back. The bill of sale comes later.
Personal loan repayment
Between friends or family, a receipt for each repayment saves the "how much is left?" conversation.
Full payment, deposit or partial payment?
If a payment doesn't cover the whole amount, say so on the receipt: what was paid now and the balance still owed. Enter the balance yourself; the generator does not calculate or carry it forward.
Paid in full means nothing more is owed for that invoice or job. Only use it when the balance is $0.00.
A deposit (or down payment, or advance payment) is money paid before the work or the sale is finished. State what it holds or is applied to, and refer to your agreement for refund terms. Label retainers clearly so the receipt matches the arrangement.
A partial payment or installment gets its own receipt each time. The balance goes down receipt by receipt, so the latest receipt always shows what's left. Rent paid in part works the same way — see the rent receipt page for the rules some states attach to it.
Jurisdiction example: contractor deposits in California
For home improvement contracts, California generally limits the down payment to $1,000 or 10 percent of the contract price, whichever is less. On an $18,400 kitchen remodel, 10 percent is $1,840, so that limit is $1,000. See the California Contractors State License Board guidance.
Other states set their own rules for deposits, and for rental deposits see the rent receipt page. The receipt itself doesn't decide whether a deposit is refundable; the agreement does. The receipt should simply match it.
How to write a receipt of payment
Write the receipt as soon as the money arrives: number it, date it, name both sides, state the amount and how it was paid, say what it covers, show any balance, and sign it.
- Use the next number. Never reuse or skip one; a voided receipt keeps its number.
- Write the date paid, which may not be today.
- Name who paid and who was paid. If a parent pays for a student or a company pays for an employee, write "on behalf of".
- Write the amount in figures, and in words for cash.
- Write how it was paid, with the check number, transfer ID or card's last four digits.
- Say what it was for and add the invoice number if there is one.
- Show the balance — even when it's $0.00 — then sign it, send a copy and keep one.
In the generator or by hand
Enter the details in the generator, review the preview, then choose Print or save as PDF. Enter the amount in words and balance yourself. Put an invoice number, project total, earlier payments or deposit terms in the For field when needed. Add a signature after printing if required.
A handwritten receipt should include the same payment details. Keep the carbon copy or a readable copy for your records.
Fixing a mistake on a receipt you already sent
Don't edit the old one. Mark it "VOID", keep it, and issue a new receipt with the next number and a note such as "replaces P-2041". Both stay in your records, so the sequence still adds up.
How to acknowledge a payment by email
Send a short email the same day that says you received the payment, repeats the amount, date and reference, gives the balance, and attaches the receipt as a PDF.
The email is a courtesy and a timestamp; the attached receipt is the record. Keep the subject line specific — the receipt number and amount — so either of you can find it later by searching. A formal acknowledgment letter follows the same pattern on letterhead, signed.

Is a payment receipt proof of payment?
A signed, numbered payment receipt is good evidence that you were paid, and it's strongest alongside the bank record: the statement shows the money moved, and the receipt shows what it was for.
The IRS record-keeping guide (Publication 583) lists receipts among supporting documents. It explains that proof of payment alone does not establish a tax deduction; keep documents showing what the payment covered.
Do emailed and PDF receipts count?
For covered transactions, E-SIGN generally prevents denying a record legal effect solely because it is electronic. Other requirements still apply. Where a written record is required, the electronic record should be capable of retention and accurate reproduction.

Making a receipt hold up
- A number from an unbroken sequence
- The payment reference that matches the bank record
- A name and signature, not just "paid"
- Amounts that add up: total, paid before, now, balance
- A PDF copy kept by both sides
If you're the one who paid
Ask for a receipt when you pay, especially in cash, and check it before you leave: the amount, the date, what it covers and the balance.
In California, a debtor can require a written receipt for property delivered in performance of an obligation (Civil Code ? 1499). If you paid electronically and no receipt comes, keep the bank or app record and ask for a receipt confirming the amount, date and purpose.
Check that the receipt names you (or says "on behalf of" if you paid for someone else), uses the right invoice number and shows the balance you expect. If something's wrong, ask for a corrected receipt with a new number rather than a hand edit.
Common payment receipt mistakes
- Dating it the day you write it instead of the day you were paid.
- Writing "paid" without the method and reference.
- Leaving out the balance on a deposit or installment.
- Figures and words that don't match — "$1,500" and "Fifteen thousand".
- Writing "paid in full" before the last payment.
- Editing a receipt already sent instead of voiding it and issuing a new one.
- Reusing numbers across clients or after a void.
Keeping payment receipts
Keep a copy of every receipt you issue, in number order, with the matching invoice and bank record.
Keep receipts with the supporting documents for your business records. Retention depends on your tax situation. Save the PDF yourself; ReceiptBoard does not store receipts or clients.
Single receipts or a receipt book
One-off payments need one receipt. Regular clients ? a monthly retainer, an installment plan, a student paying lessons by the term ? are easier to follow with numbered receipts. Keep your own receipt register and update the balance for each payment.

- Is a payment receipt the same as an invoice?
- No. An invoice asks for payment; a receipt confirms it arrived. If you sent an invoice, the receipt references its number.
- Do I have to give a receipt?
- Often not by law, but the payer may ask — in California a payer can require one (Civil Code § 1499) — and some states require receipts for specific payments such as cash rent.
- Who writes the payment receipt, the payer or the payee?
- The person who was paid usually issues the receipt. If the payer prepares it, ask the payee to confirm the details.
- Does a payment receipt need a signature?
- Requirements depend on the payment and jurisdiction. A signature identifies who acknowledged the payment and can be helpful for cash receipts.
- Can I write a receipt by hand?
- Yes, as long as it has the same details. Keep the carbon copy or take a photo of it.
- Is an emailed or PDF receipt valid?
- Electronic form alone generally does not remove legal effect under E-SIGN for covered transactions. Other requirements still apply. Send a PDF both sides can retain.
- What does "paid in full" mean?
- That the payment brings the balance to zero and nothing more is owed for that invoice or job.
- How should I number receipts?
- One unbroken sequence, with a prefix if you like (P-2041, P-2042…). Voided receipts keep their numbers.
- I made a mistake on a receipt I already sent. What now?
- Mark it void, keep it, and issue a new receipt with the next number that says which one it replaces.
- Is a bank statement enough without a receipt?
- It shows the money moved but not what it paid for. Keep both; the IRS notes that a combination of documents may be needed.
